Are you a professional podcaster or network and have a team around you that helps produce your shows? Or maybe you just have a co-host and don’t want to share login credentials? No matter your size or specific needs, Team Seats allows you to add team members to your organization for better user management. Each Team Seat comes with its own dedicated login and can be fully customizable to the specific level of access that you want a user to have on the shows in your organization.

Adding a Team Seat

If you’re the Org Owner, you can add Team Seats to your Org in a few simple steps:

  1. Log into your RedCircle account and click Account > Team Seats

  2. Scroll down and click Add Team Member

  3. Input this person’s First Name, Last Name, and email address then click Next

  4. Select the podcasts and corresponding role that you want to assign for this Team Seat (this step will not apply if you don’t have any podcasts in your Org yet)

  5. Select a role for Assign the following role to all other podcasts in the Org. Please note this will apply to all existing podcasts in your Org that haven’t been explicitly assigned a role on this Team Seat, as well as any new shows that you add to your Org in the future. You can always update this for your Team Seat at any time.

  6. Click Assign Permissions. This user will receive an invitation email to complete their sign up. They will also now appear in your Team Seats list where you can update their access further if needed.

Example: Let’s say you’re the Org Owner for a network of 10 shows and you want to add the host of Show A as a Team Seat. When adding them as a Team Seat, you could select Show A and assign them “Contributor” role, and then for Assign the following role to all other podcasts in the Org you could assign them “Viewer” role (if you want them to see the other shows) or “No Access” (if you don’t) which would apply to the other 9 shows currently in your Org, as well as any new shows that you add to your Org in the future.


Updating the Podcasts on a Team Seat

If you need to change which podcasts are assigned to which roles on a Team Seat, follow these steps:

  1. Log into your RedCircle account and click Account > Team Seats

  2. Click on the Team Seat you wish to make changes to

  3. Select podcasts in bulk and/or use the dropdown next to the show

  4. From the dropdown, click the new role that you want to move the selected podcasts into then click Ok. These changes will immediately update for that Team Seat user.

In addition to the Org Owner being able to make these updates, Admins can also update a Team Seat’s role on the shows that they are an Admin on (with the exception that an Admin can’t change another Admin’s role on that show).

Example of when to use this: if a Team Seat in your Org has “Editor” access to Show A but you want to increase their level of access, you can move Show A from “Editor” role to “Admin” role for this Team Seat. Alternatively, if a Team Seat has “Viewer” access to Show A but you no longer want them to have access to this show at all, you can move Show A from “Viewer” role to “No Access” for this Team Seat. These are just a couple examples of the many ways you can move shows around on a Team Seat.

Note: if you change the role that’s selected for Assign the following role to all other podcasts in the Org, it will apply to all existing podcasts in your Org that haven’t been explicitly assigned a role on this Team Seat, as well as any new shows that you add to your Org in the future.


Customizing a Role on a Team Seat

Once you’ve added a Team Seat to your Org, you can further customize that user’s permissions in a specific role by following these steps:

  1. Log into your RedCircle account and click Account > Team Seats

  2. Click on the Team Seat you wish to customize permissions for

  3. Click Customize Role on the particular role you’d like to update. A modal will popup where you can scroll through the list of permissions for that role.

  4. Check or uncheck any of the customizable permissions then click Save Changes. These changes will immediately update for that Team Seat user.

Example of when to use this: if you’ve assigned a Team Seat the “Editor” role to some of your podcasts but you do not want this user to be able to publish an episode, you can customize their “Editor” role further to remove that permission.


Deleting a Team Seat

If you need to remove a user from your Org entirely, follow these steps:

  1. Log into your RedCircle account and click Account > Team Seats

  2. Click on the existing user you wish to remove from your list of Team Seats

  3. Click on the trash can icon in the upper-righthand corner next to the Team Seat’s name and then click Delete User. This action will immediately remove the user from your Org and they will no longer be able to log into RedCircle.
